About EventsAI

EventsAI was created by Geoff Chen for clients, PR companies, marketing agencies, and event teams who need a faster way to match event photos with registered guests.

The platform is designed to work during live events and to reduce the usual problems caused by unstable internet. The AI photo matching runs on the local laptop, so matching can continue with minimal impact from connectivity issues.

This makes it possible for guests to see their photos quickly after the photographer uploads them into the marketing coordinator's watch folder.

This is the first version, with more tools planned ahead, including ideas like Instagram or Facebook-based guest post discovery tied to the event.

Open The Live Site

Live site: https://eventsai-nextjs.vercel.app

Use the production homepage, not a preview deployment URL.

No Vercel account is required for guests, galleries, or the Windows operator app.

A Vercel account is only needed for project owners managing deployments, storage, or environment variables.

Create A Test Event

Click Create Event from the homepage.

Enter the event name and date, then confirm the event appears on the homepage and event page.

Register A Guest

Open the event page and click Register Guest.

Use a straight-on selfie with good lighting and minimal face obstruction for the strongest results.

After registration, the guest receives an email with a QR code and gallery link.

Check The Email

Look for messages from events@athenocart.com.

If the email does not appear in the inbox, check Spam, Promotions, Updates, and All Mail.

If it lands in Spam, mark it as Not spam so future guest emails are easier to find.

Download The Windows Operator App

Windows download: /downloads/events-ai-operator-windows.zip

Mac download: Coming soon.

Extract the ZIP and run EventAI.exe.

If Windows protected your PC appears, click More info, then Run anyway.

Start The AI Worker

Select the event inside the app.

Choose the photo watch folder (Watch folder means you create a folder on your Desktop and point "Browse Folder" to that watch folder you create. This will be where you upload all the photos. During live events the photographer may direct their Lightroom folder to your Desktop watch folder so this can work live.) and click Start AI.

Note: After clicking "Start AI" do not click multiple times. Wait 5-10 seconds and it will start.

The app will sync guests, build face embeddings, and watch the folder for new photos automatically.

Add Event Photos

Copy event photos into the selected watch folder while the app is running.

The worker scans new photos, matches guests, and uploads matched images back to the live event galleries.

Verify The Results

Refresh the live event dashboard.

Confirm the metrics update and open each guest gallery to review matched photos.

Live Event Setup

For live events, the goal is simple: the photographer sends fresh event photos to the operator laptop, and EventsAI watches that folder in real time.

Option 1: Shared Network Folder (Recommended)

This is the more professional live-event workflow and works well when both laptops are on the same WiFi.

Both laptops: connect to the same WiFi network.

Marketing / Operator laptop: create a folder on the Desktop called EventPhotos.

Marketing / Operator laptop: right click the folder, choose Share, then share it with Everyone.

Photographer laptop: open the shared folder using the network path:

\\MarketingLaptopName\EventPhotos

Photographer laptop: point Lightroom exports directly into that shared folder.

Option 2: Snapdrop Transfer (Simple Backup)

Snapdrop works like AirDrop for laptops on the same WiFi and is a simple backup option for event staff.

Files do not go to the cloud. They transfer directly between devices over local WiFi.

Step 1: connect both laptops to the same WiFi, whether that is a hotspot or router.

Step 2: open a browser on both laptops and go to snapdrop.net.

Step 3: the photographer drags photo files into Snapdrop or clicks the marketing laptop device name and selects files.

Step 4: the files download to the marketing laptop Downloads folder, and EventsAI can watch that folder.

Simple Lightroom workflow: the photographer can export a batch every 5 to 10 minutes, then drag the batch into Snapdrop.

Notables

Tiny, heavily compressed, crowded, masked, or sunglasses-on photos are harder for the AI to match than clear medium-close photos.

The best results come from high-resolution images where the guest's face is large enough to see clearly.

For client testing, use the production homepage and the download link on that homepage so nobody needs direct access to Vercel.
